    JOB DESCRIPTION

     

    Title: Accounting Assistant                           Department:  Operations

    Type:  Part-time $22/hr (30hrs/wk)               Reports to: Executive Director

     

    I.  BROAD FUNCTION

    Help and Emergency Response, Inc. (H.E.R.) is a 501(c)(3) non-profit agency that provides 24-hour Crisis Hotlines, Emergency Shelter, Trauma Recovery Programs and Rapid Rehousing to individuals and families affected by domestic violence, sexual assault, stalking, human trafficking, and homelessness.  The Accounting Assistant is responsible for the financial functions of the agency. This position will prepare and maintain financial records to track the organizations assets, liabilities, profit and loss, tax liabilities, and other related financial activities.

     

    II. ESSENTIAL DUTIES AND RESPONSIBILITIES

     

    The essential functions include, but are not limited to the following:

     

    • 1)      Uploading and coding invoices into Bill.com system; Releasing payments to vendors after appropriate approvals received.
    • 2)      Entering cash deposits into Intacct accounting system and record the associated revenue (checks, cash, wire, etc.); taking physical deposits to bank.
    • 3)      Overseeing company credit card process and enforcing policy to provide receipts and other coding information.
    • 4)      Reviewing and approving expense reports in Expensify system.
    • 5)      Generating grant reports out of Intacct accounting system and creating/sending grant invoices to grantors; recording grant invoices in the Intacct accounting system.
    • 6)      Working closely with outsourced accounting team and Controller to facilitate month-end close and monthly reporting; answering questions and providing other information, as needed.
    • 7)      Assisting Grants & Compliance Coordinator and Executive Director with grant management tasks, as needed.
    • 8)      Complete annual audit and grant audits as needed.
    • 9)      Assists Grants & Compliance Coordinator and Executive Director with development and monitoring of agency budget.
    • 10)  Maintains timely AR and AP accounts to all vendors, and answers all inquiries as received.
    • 11)  Maintains payroll allocation schedule and submits payroll.
    • 12)  Works closely with Administrative Assistant to ensure timely and systematic payment of insurance, and benefits.
    • 13)  Actively participates in training seminars, staff, administrative, and board meetings and other agency functions as requested.
    • 14)  Works closely with the Grants & Compliance Coordinator to systematically track Federal, State, Local and Foundational Grants and provide accurate financial documents for grants.
    • 15)  Maintains a professional demeanor with supervisor, co-workers, clients, and other organizations. Communicates effectively and courteously. Brings appropriate issues to the Executive Director’s attention. Adheres to H.E.R. policies and procedures, including Standard of Conduct.
    • 16)  Provides excellent customer service to all volunteers, clients, donors and community partners.
    • 17)  Adheres to all policies, procedures and protocols related to operating an Essential Business.
    • 18)  Performs all other duties as assigned.

    III.  MINIMUM QUALIFICATIONS (KNOWLEDGE, SKILLS, AND ABILITIES)

    •  
    • Must have a valid driver’s license, good driving record, and ability to pass a background check.

    Education and/or Experience: Associate’s degree in Business Administration with course concentrations in accounting/finance or 2+ years of bookkeeping or accounting experience. Non-profit finance experience is a plus! Must be extremely proficient in Excel. Must have excellent organizational skills and attention to detail. Ability to work independently and in-group forums as well as communicate both positively and effectively in oral and written formats required. Motivated self-starter who takes initiative to get things done preferred. Knowledge of domestic violence and homeless issues preferred.

     

    Physical Demands and Work Environment: While performing the duties of this job, the employee is regularly required to sit, talk, hear, and to use hands to finger, handle or feel. The employee is frequently required to operate a motor vehicle. The employee is frequently required to walk and to reach with hands and arms. The employee is occasionally required to stand, climb or balance, and stoop, kneel, crouch, or crawl.  The employee is occasionally required to lift and/or move up to 25 pounds.
